Privacy Policy

Who this covers

This policy applies to every bot operated by KojinStudios: Tickets, Atlas, Gavel, Host and Courier, along with the dashboard at bots.kojinstudio.com.

What we collect

We collect the minimum needed to run the feature you have switched on. In every case that means Discord user IDs, server IDs, and the settings you configure. Beyond that, it depends on the bot:

• Tickets and Atlas store ticket, application and appeal transcripts — the messages sent inside a conversation you opened — because a transcript is the feature.
• Gavel stores moderation cases, including the message that triggered a filter, so a moderator can see what was acted on and why.
• Host stores XP totals, and the text you submit through its own commands — a suggestion, a saved tag. It does not store ordinary messages; it reads them to award XP and clear AFK status, then discards them.
• Courier stores server settings and which channels you asked for alerts in. It reads no messages and stores nothing about individual members.

What we don't collect

We never store the contents of DMs, voice, or conversations outside the specific features above. We do not read messages in channels a bot has not been given access to, and we do not build profiles of members across servers.

How long we keep it

Configuration and the data a feature depends on are kept for as long as the bot is in your server, because deleting them would switch the feature off. Ticket transcripts on the free plan expire after 30 days; on a paid plan they are kept until you delete them.

When Tickets is removed from a server, that server's stored data is deleted after a seven-day grace period, so an accidental removal does not destroy your setup. The other bots do not yet purge automatically — removing them stops all collection immediately, and you can ask us to delete what remains.

How we use it

Data is used solely to provide the bot service you have added. We never sell, rent, or share it with advertisers, and we do not use it to train machine learning or AI models.

Where it is stored

On a private server in Germany, operated by KojinStudios. Connections between the bots, the dashboard and the database are encrypted in transit. Access is limited to the operator of the service.

Payments

Payments are processed by Stripe. We never see or store your full card details. See Stripe's privacy policy for how they handle payment data.

Your rights

You can request a full export of your data, or have it deleted, at any time by emailing kojinstudios@gmail.com or asking in our support server. Requests are actioned manually, usually within a few days.
